Configuring a workspace in Canto is a straightforward process that allows you to organise, collaborate, and manage assets for specific projects or teams.

Customizable Structure
- Each workspace can be structured to meet the needs of a particular team. You can create folders, assign roles, and control permissions to ensure the right people have access to the right content.
- Custom tagging, metadata fields, and filtering make it easier to search and retrieve files specific to that workspace.
Role-Based Permissions
- Administrators can assign specific permissions to users based on their roles. For instance, you can set certain users as editors, allowing them to make changes, while others may only have viewing access.
- This helps ensure that sensitive content is protected while still allowing for collaborative efforts.
Real-Time Collaboration
- Canto enables team members to work together in real time, providing the ability to comment on files, provide feedback, and track updates within the workspace.
- Comments and annotations on images or videos allow team members to provide detailed feedback without needing to leave the platform.
Steps to Configure a Workspace in Canto
Access the Workspaces Feature:
Navigate to the Workspaces tab, which can usually be found on the main dashboard under the app switcher menu.
Create a New Workspace and fill in the description to custom your worskspace station.
Assign users to the workspace:
Invite team members by entering their email addresses or selecting them from the user list.Set Up Folders and Categories
- Once the workspace is created, you can organize content into folders.
- Create folders based on specific categories, projects, or asset types (e.g., images, documents, videos).
- You can also use tags and metadata fields to classify and filter assets for easier search and management.
How to edit, clone and delete a Workspace?
You can use your existing Workspaces as templates by coning them.
Click the trash bin icon next to the Workspace you want to delete.
How to move assets from Main Library to your Workspace?
Select the assets you want to move to the Workspace and select the Workspace icon in the toolbar to which Workspace you want to move the assets to.
Likewise, you can choose to have the folder/album to the workspace in the same manner.
How to move assets from Workspace to Main library ?
To move assets to the Main Library, start by selecting the desired files by clicking the checkbox located in the upper right corner of each preview image. After selecting your first file, a toolbar will appear in the upper right corner, replacing the display options, allowing you to proceed with the transfer.
The selected assets will be transferred to the main library, and you will have the option to choose whether to keep the files in the workspace for additional editing or remove them entirely from the workspace.
Similarly, the selected folders and albums will also be transferred to the Main Library along with their contents. During this process, you will have the option to decide whether to remove the files from the workspace or to keep the folders and albums visible in the workspace for further editing.
How to Upload Files to a Workspace Using External Connections:
To upload files to your Workspace, click on the "Import Files" button. You can find this button in the center of your screen or, if you've previously added assets to your Workspace, it will be located above your asset previews. After clicking, select the external connection you wish to use for the upload.
Log in and select the folder you wish to import into Canto, then click "Allow." Please note that the duration of the import process may vary based on the volume of files being transferred. You have the option to close this window or cancel the remaining import at any time.
Once the import is complete, you will receive a notification stating, "Your import is complete."
And you can also disconnect any prior external connection within your Workspace with the following manner.
