How to configure your Asset Metadata

An explanation of how to create and organise your own custom metadata along with your default metadata in Canto

Configuring custom settings in Canto, can be essential for tailoring the system to your specific organizational needs and preferences. Custom configuration involves adjusting various elements of the platform, such as metadata fields, workflows, access controls, branding, and more. Custom Configuration of Metadata can also be edited and changed in Portals to be a separate inclusion/layout compared to the main library in Canto. This is due to Portal content only requiring trending or necessary pieces of metadata as it is usually accessed by the consumers of the content, while all detailed and more complicated forms of metadata are for backend Power Users (Admins or Contributors).

Custom Configuration Steps in Canto:

  1. Access the Admin Panel:
    • Log in to your Canto account and navigate to the settings section. This is where you can access customization options.
  2. Explore Customization Options:
    • From this page select the Configuration Options>Custom Configuration, to then organise your different display sections of Metadata as shown previously in the Main Library Custom Configuration Image.
  3. Custom Metadata Fields:
    • Configure custom metadata fields based on your needs. This refers to non-standard fields, tailored to your business’ specific asset categorization and search requirements.
  4. Field Types and Validation:
    • Define the type of information each custom field should contain (text, date, dropdown, etc.). Implement validation rules if necessary to ensure data consistency. (refer to KB article “Creating Custom Fields”)
  5. Custom Views and Layouts:
    • Customize the way assets and metadata are displayed. This could involve configuring views, and layouts of metadata to match the specific needs of different user roles or departments.  
    • Utilise the Drag and Drop feature in the custom tool, for allocation of the metadata order, to place prioritised metadata fields higher in the display for an easier User Experience.

    • Left Column is the applied Layout of your Selected field (Upload Metadata view, Bulk edit Metadata view, Preview Page Metadata view, etc.), while the right column is the list of existing Metadata Fields stored in your Canto instance that can be added to the view, but not currently active.   To activate, simply select the “+” icon on the right, and the metadata field will be added to the bottom of the layout list.  

    • As you can see in the below image the Metadata field layout matches the same order and display as the Upload editing display. Some metadata fields are closed and can be expanded by selecting the arrow icon, while other are opened by default to display the metadata field fully upon opening of the Metadata editor for uploaded assets.

  6. Suggested Training and Documentation:
    • Develop training materials and documentation for your team members or feel free to utilise this article provided. Ensure that users are familiar with the custom configurations and understand how to use them effectively.
  7. Regular Review and Updates:
    • Periodically review your custom configurations to ensure they continue to meet your organizational needs. Update configurations as needed to adapt to changes in workflows or business requirements.
