How to optimize and integrate “Canto Reporting Methodologies with PivotTables”

Function of Operation logs:

Operation logs ensures transparency, accountability, compliance, and performance optimization within Canto instance. By tracking and documenting user activities and system events, operation logs provide organizations with valuable insights and actionable information to effectively manage their digital assets and workflows. Audit Trail:

  • Serves as an audit trail, documenting all activities and changes made within the Canto platform. This includes actions such as asset uploads, downloads, edits, deletions, sharing, and access permissions changes.
  • This helps organizations to maintain accountability and transparency by tracking who performed which actions and when they occurred.

Compliance and Security:

  • Supports compliance efforts by enabling organizations to track and monitor access to sensitive or regulated data within Canto.
  • By recording user activities and changes, operation logs help organizations ensure that data access and usage align with internal policies, industry regulations, and data privacy laws.

  • Allows organizations to analyze their user activity and behaviour which includes understanding how users interact with digital assets, which features they utilize most frequently, and how they collaborate with team members.
  • This also helps organizations identify training needs, user adoption challenges, and opportunities for enhancing the user experience within the DAM platform.

 

Different ways of reporting areas:

Asset Usage Reports:

  • It reports you to track on how digital assets are being utilized within the platform. This includes metrics such as views, downloads, shares, comments, and likes for individual assets or asset collections.
  • These reports help administrators understand which assets are most popular, how frequently they are accessed, and how users interact with them.

User Activity Reports:

  • Analyses the actions and behaviours of users within the Canto platform which includes metrics such as login frequency, upload/download activity, asset sharing, and collaboration activities.
  • These reports help administrators monitor user engagement, identify power users, and track overall user activity levels.

Search Reports:

  • Search and discovery reports analyze how users are searching for and discovering assets within Canto. This includes metrics such as search terms used, popular filters applied, and the effectiveness of search queries.
  • They help admins optimize metadata tagging, improve search relevance, and enhance the user experience.

Asset Performance Reports:

  • Provides insights into the performance of individual assets which includes metrics such as views, downloads, shares, comments, and engagement rates for specific assets.
  • These reports help admins identify high-performing assets, assess their impact on audience engagement, and make data-driven decisions about content strategy.

 

How to Pivot CSV file in Excel

When you pivot a CSV file in Excel, you are essentially reshaping the data to create a new table that summarizes the information based on specific criteria. This allows you to gain insights into the data by aggregating, sorting, and filtering it in various ways.  

One of the key benefits of pivoting data in Excel is the ability to dynamically analyze it. You can easily rearrange and reconfigure the PivotTable to view the data from different angles, apply filters to focus on specific subsets of the data, and drill down into details to explore relationships and trends.

To export your data into a CSV file first you must: Select Reports from the New  App Switcher Menu > On the left menu select Operation Logs > Select your window of dates to view content > and then export as CSV File.

 

Open your CSV file in Excel and review the preview to ensure the data is correctly formatted, to import the data into Excel.

In the "Create PivotTable" box, Excel will automatically detect the range of your data and verify that the range is correct or adjust it as needed (if it is missing data, Select all content (ctrl+a) and then select “Create PivotTable”.

Choose where you want the PivotTable to be placed: on a new worksheet or an existing worksheet (recommended new worksheet).

 

Customize Your PivotTable:

You can customize your PivotTable by rearranging fields, changing the summary calculation (e.g., sum, count, average), applying filters, sorting data, and formatting the appearance of the PivotTable.  Simply select the data you wish to be included in your table.

In the "PivotTable Field List" pane, you'll see all the column headers from your original CSV file.

Drag and drop the fields you want to analyze into the "Rows," "Columns," and "Values" areas of the PivotTable Field List.

We recommend that you organise the table into what we have below:

Filters area will have the Users in order to select the statistics of the selected individual, group or all users of the Canto instance, Under Columns select location, and Date and Time (it will ask for days, hours, minutes to be selected on time preference for you to select), Rows are operations and content for further explanation of operations performed by the user, and lastly have it so the Values are “Count of Date and Time” as it will count the total of all values in the time amount selected.  To simplify the table, you can just select the “Days” as your only Date and Time preference.

 

From here you will be able to select the individual user, select a group of users or all users, to view their operation logs. 

 

You can also add more columns such as the “content” Row so you can see the breakdown even further of what action they performed.  For example: One of our Users Created 4 new albums for Onboarding in the image below as you can see the highlighted area.
